For successful company development and extension, its head manager has to perform the precise audit of everything that company owns. Particularly, the system administrator always has to think about the constant software and hardware inventory and all the network devices' audit because computers are the main implements of employees in organization offices.
What kind of information is necessary to put the network computers and software in order?
1. First of all, the system administrator has to count all the computers in offices and company branches using a computer inventory program.
2. The second part of this process is the hardware inventory. This must include obtaining the information about types and models of each part on all computers, their description, manufacturer; the information about the employee, who uses this equipment, and so on.
3. The third step is the software inventory process. This part has to contain the discovery of installed programs' names, installation dates, serial or license numbers, versions, etc.
It is very important not to miss any small detail. Only if the system administrator gets all this data and checks it periodically, we may say, that the software and hardware inventory is performed properly.
But, you should keep in mind, that there is a big difference between companies with 5-10 computers, and organizations with huge computer parks and difficult IT infrastructure. In this case, modern head officers, who want to rule the company's assets effectively, should use the appropriate inventory software, which allows performing constant network software and hardware audit effortlessly.
Usually, the software and hardware inventory program uses the following scheme:
Step 1. The system administrator installs the computer inventory software on his PC.
Step 2. The software and hardware inventory program scans the entire network in order to detect all the network devices, and then generates the list of them.
Step 3. After the host list is ready, the computer audit application starts obtaining the software and hardware data from every single computer on the network. The result of this process is stored in the database, which contains all obtained information. The system administrator is able to view this data, print it, or generate the software and hardware reports.
Step 4. The computer inventory program should allow the system administrator to perform constant data obtaining and updating in order to detect any hardware and software change in time.
Thus, the software and hardware inventory process allows not losing any part during the hardware replacement, installation of new computers or their repair, and also helps to detect disappeared or changed parts in time.
Tracking software changes on employees' computers allows preventing serious problems connected with unlicensed (or cracked) programs installation, which could lead to administrative or even criminal responsibility (remember the Copyright Law).
Also, software and hardware inventory program allows the system administrator to generate summary tables to discover, which programs should be updated, which have to be purchased, which hardware need to be replaced with the newer one. In addition, thanks to this measure, IT manager is able to plan current and future expenses on computer maintenance more effectively.
As a conclusion, we can say with certainty, that using hardware and software inventory program allows IT manager to increase the effectiveness of using the expensive computers and programs that nowadays play the crucial part in entire organization's business process.
