BELLEVUE, Wash. and MALVERN, Pa., Nov. 1 /PRNewswire-FirstCall/ -- Captaris, Inc. , a leading provider of software products that automate document-centric business processes, and IKON Office Solutions , the world's largest independent channel for document management systems and services, today announced that The Mortgage Warehouse (TMW) has selected IKON to integrate Captaris(R) RightFax(R) Enterprise Server with its internal software applications and multifunction products (MFPs) to help streamline and secure the electronic delivery of critical and confidential business documents. TMW reported that the solution has allowed it to process more loans in a shorter period of time, enhance the security around lending documents and save close to 50 percent on costs.

Based in Clearwater, FL, TMW is a wholesale lender providing services to mortgage brokers and their borrowers. With a steady stream of confidential loan documents flowing in and out of TMW every day, the firm looked to IKON Office Solutions to develop an overall document delivery, workflow and storage solution. "IKON started with an assessment of TMW's existing workflow and evaluated its need for secure document delivery as well as its overall business processes, and based on that assessment, we developed a solution utilizing RightFax," said Brian Edwards, Senior Vice President of North American Sales and Services for IKON. "The flexibility of the solution to integrate with MFPs for scanning documents into the workflow and a variety of other software applications, coupled with the built-in security features, made RightFax a perfect choice to meet TMW's document delivery needs. This is just one example of how IKON can work with customers to assess their document workflow and implement a solution using best-in-class software and technology to increase productivity and streamline processes."

Prior to installing RightFax, TMW sent and received business documents via fax machine, a method described by Dave Hazelwood, Director of IT and Quality Control at TMW, as the "chisel and rock" stage in the evolution of information exchange. "Now with RightFax, employees can easily click one button and send documents from any of our internal programs without leaving their desks," said Hazelwood. "This has resulted in a considerable time savings and provides better security for the documents, which is critical for our ability to assure that sensitive information is safeguarded under consumer information protection regulations." To send paper documents, employees now scan the documents at one of the centrally located MFPs and use a document imaging and distribution system to transmit the documents electronically via RightFax. Incoming faxes are received via Direct Inward Dial (DID) numbers assigned to individuals; this feature automatically delivers the documents to the right desktop computers, completely eliminating the inefficient and unsecured paper shuffle.

TMW has realized a cost-saving of close to 50 percent, according to Hazelwood. "The RightFax solution replaced our obsolete fax machines and took the place of an outsourced fax provider whose services did not meet our turnaround time requirements and cost several thousand dollars a month."

In addition to streamlining document delivery services for TMW's brokers, RightFax also plays an important role in simplifying administration. "To add new hires or move employees from one location to another, it used to take a full day on average for our outsourced fax provider to update our information on their system. Today, using our own RightFax server with the centralized administration tools, TMW can add new users within minutes," Hazelwood added.
